Data Standardization & Harmonization
Once the data has been compiled, we need to make sure that it follows certain patterns. E.g., for Address related information we must understand the starting point which is geography. Every detail in the data entry or recordset must be part of an individual container. The country detail has to be part of one container while the city would be part of another. We then start the process of cleanup. A country cannot be spelled differently across the same data sets. This will also allow us to identify the outliers so that we can immediately understand that New Jersey is not part of the country United Arab Emirates and so on. Before we start with the cleanup, we set up a few rules for data governance. Rules are important because this will tell us how to consider each data set, how to treat an anomaly when we encounter it, how to treat outliers etc.
Standardization refers to the process of moving details of data within the record to ensure that the right information sits in the right field, that is, we make sure that the country field contains only country-related information. Harmonization refers to the process of creating a resemblance among different records. For example, In our dataset, if we have one record saying UAE while another says the United Arab Emirates then we change one of these records to follow what we have decided as part of our initial ruleset.
Data Deduplication
Lots of times data is compiled from multiple sources and in lots of cases by multiple people. Again, this could have been created over a period. The standards in all these situations would be very different. Once we have completed our harmonization routines, we will come across a data set that looks and feels like it was put together from a single source. Multiple sorts and checks will now reveal ever-present duplicate data sets that were part of the initial mix and will allow us to then remove them to save on space and communication costs. While this sounds very straightforward and uncomplicated, this is where experience is required the most. Further, while true duplicates can be identified by the system easily, there could be a lot of possible duplicates (true or otherwise) that are present in the data sets. OCR
Optical Character Recognition (OCR) relates to data being read from digital media by software and then automatically populating into fields. We do bulk OCR for a few of our customers. This becomes particularly handy when the quantities to be reckoned with run into a few thousand. OCR has developed into a go-to tool for all bulk data capture. OCR services work very well in these situations as they provide more than 98% data accuracy. Unfortunately, OCR still has a long way to go before it can be called technically perfect. For data that is a script or handwritten it still does not pick up.
Further, when we do a bulk data load of saying business cards, OCRs pick up a particular format as we know not all business cards follow the same format, therefore manual intervention is always needed to ensure quality data. Data Analytics
There is a wealth of information in every data set. It only depends on what we are required to see and who is seeing it. It was a good restaurant and John goes there often. If someone were to capture this information, it would show the above details but if a good data analytics team were to look at it, they would come up with some obvious insights. Though obvious it could help develop the strategy for future use. The team would say – John eats at the restaurant; John has been there so many times during the year. John regularly orders a particular item, or he is more interested in say “Seafood”. John comes during lunchtime and not on the weekend therefore it could mean that it is closer to his place of work. The restaurant is of a particular economic type and therefore we would be able to peg John into a category. If the restaurant uses this information to create a persona and then tries to talk to people who share a persona like John, they will be looking at more business.
